The Division of Computing, Data Science, and Society (CDSS) is a dynamic, innovative new structure at UC Berkeley that represents a once-in-a-generation transformation. The Division brings together faculty, researchers, and students from computing, statistics, the humanities, and social and natural sciences, mirroring the cross-cutting nature of data science and redefining the research university for the digital age. CDSS connects Data Science Undergraduate Studies, School of Information, Departments of Electrical Engineering & Computer Sciences and Statistics, the Berkeley Institute for Data Science, and the Data Science Commons. The Division is responsible for growing Berkeley’s broad-based data science education program, including classes and programs serving thousands of undergraduate students a year.

Responsibilities

50% Student program coordination and administration Planning & Development:

  • Actively participates in planning for the Data Science programs that connect large numbers of undergraduate students with hands on, team-based opportunities to contribute to various data related projects. Assists with planning, recruiting, and managing growth of student programs in the Division, which may include student teams, Data Scholars, BUDS, and other student training/development opportunities.
  • Participates in executing marketing plans/strategies for Data Science programs Analysis & Evaluation.
  • Supports the Academic Support and Student Engagement specialist in implementing assessment plan to include assessment on at least a semester basis (or more frequently if needed) in order to understand impact of programs experienced from multiple perspectives (ie student participant, student lead, staff supervisor) to understand the student experience within programs, with a particular focus on DEIBJ and alignment with Student Learning Objectives.
  • Monitors and analyzes participant trends of interest and supports Academic Support and Student Engagement specialist in identifying areas for program improvement.
  • Implements and utilizes evaluation tools for student research/feedback and project management.
  • Analyzes data to identify areas for program improvement and makes recommendations to CDSS leadership. Student Team program coordination and administration.
  • Oversee the student team hiring process with a focus on upholding and increasing DEIBJ.
  • Prepare and publish application forms, provide clear communication to students in relation to key dates/times, may help collaborate in application review (applications are in the multiple hundreds), and manages the student teams hiring portal.
  • Supports student team members in completing/submitting hiring documents, managing timesheet submission and approval process, resolving timesheet issues, creating rosters, and submitting student team appointment changes.
  • Engineering Research Support Organization (ERSO) liaison for student employment issues.
  • Responsible for supervising, leading, guiding, and mentoring the HR & Management, Nexus, and Strategic Operations student teams.
  • Maintains databases Student engagement: Serves as a point of contact and informational resources for students in all CDSS student programs, with particular focus on providing mentorship for members of student team.
  • Assists with the development and implementation of programs for ensuring positive, growth-oriented student team culture.
  • In partnership with Academic Support and Student Engagement specialist, implements community building initiatives for students involved with CDSS programs.
  • May provide general non-academic advising for students in programs.
  • Consistently champions diversity, equity, inclusion, belonging and justice. Presentations and Events.
  • Leads orientation presentations, student events, showcases, and other community events in support of the division’s programs. Collaborates with other team members to create information and social events to generate student interest, build community, develop and inclusive culture, and improve student retention.
  • 40% Scheduling and Enrollment Management:

  • Leads and oversees department course scheduling and enrollment management.
  • Schedules courses and manages logistics for all rooms for all DATA courses (lectures, lab sections, tutoring spaces, rooms for course staff meetings and office hours, special rooms for student accommodations), etc.
  • Using judgment and discretion, independently reserves classroom locations for courses, taking into account the requirements and restrictions of the Campus Scheduling Office, past enrollment trends, instructor preferences, equipment and facility needs, and department and campus needs.
  • Consults with the manager of academic support services and faculty as needed and advises department on students and departmental needs.
  • Consults with Campus Scheduling Office, colleagues and instructors on issues regarding obtaining appropriate classrooms space and advises faculty and manager on options. Works with other departments to set up cross-listed and room-shared courses.
  • Collects, analyzes, and provides statistics on Data Science enrollment trends to department management.
  • Advises and recommends new enrollment policies to faculty in order to ensure clarity and consistency in enrollment planning. Communicates policy broadly to students using email, webpages, social media and general one-on-one advising .
  • Manages Data Science student enrollment for efficient use of classroom space and resources, and ensures students are enrolled based upon established priorities. Sets up enrollment limits, seat reservations, and other course restrictions. In consultation with faculty and Academic Support Services manager, fairly and equitably manage course waiting lists. May work with Advisors to generate and disburse enrollment permission numbers.
  • Triage requests for classroom technology and space issues, including lock outs.
  • Respond to student queries regarding course policies, structure, logistics, and enrollments.
  • Oversee and manage the course evaluation process each term.
  • 10% Curriculum Coordinator:

  • Assists with devising curriculum planning in collaboration with chair/dean, faculty, and other departments, to ensure students' academic progress through course sequences, avoiding conflicts, and ensuring compliance with campus-wide policies.
  • Supports faculty in preparation of new COCI proposals for DATA courses. Serves as point of contact for the Course Management System (CMS) requests/issues. Prepares and submits Course Approval Forms to the Academic Senate as additions, changes, or withdrawals of courses are submitted. May assist with facilitating new course approval and curriculum revisions through interaction with the Data Science Degree Programs Governance Committee, Academic Senate, and similar organizations.
  • Provides students and faculty with specialized information and explanations regarding Departmental, College and University policies and procedures relevant to course enrollment, grading policies/grade submission dates, grade disputes, and academic requirements.
  • Provide faculty and instructors with limited administrative support to ensure that grades are submitted to e-grades by stated registrar deadlines.
  • Assist coordinate and oversee final exam scheduling as needed.
  • Provides guidance to faculty and instructors on issues related to bcourses, and Cal Central as needed.
  • Monitor and coordinate DSP accommodation logistics for exams.
  • Monitor and coordinate potential make-up exam arrangements.

  • Required Qualifications

    The position is designated hybrid, with 3 days on campus, and 2 days remote

  • Can quickly learn, understand and demonstrate skill in following confidentiality rules established by FERPA, the state of California, and the university.
  • Strong attention to detail while managing shifting priorities, with frequent interruptions while keeping a positive and professional attitude through changes.
  • Excellent and accurate record-keeping and organizational skills.
  • Demonstrates excellent and professional writing, editing, and verbal communication skills when communicating to a diverse group.
  • Demonstrates intermediate-to-advanced skills using Microsoft Office Suite (Word, Excel, PowerPoint, etc.).
  • Experience and skill in providing high-level, front-facing customer service as well as managing a high volume of incoming email requests or inquiries from faculty, students, staff, and external partners.
  • Bachelor’s degree in related area and/or equivalent experience/training.

  • Preferred Qualifications
  • Working knowledge of common campus-specific policies and procedures.
  • UC Campus and/or equivalent experience preferred.
