The Chicago Public Schools (CPS has set ambitious goals to ensure that every child - in every school and every neighborhood - has access to a world-class learning experience from birth resulting in graduation from high school to college and career-ready. The Office of Safety and Security serves as the critical department to partner with school principals and other CPS staff members to ensure that all schools strive towards the goal of establishing a safe environment for our students.
The Project Coordinator for the Office of Safety and Security is charged with supporting the Office of Safety and Security as they drive towards ensuring that every school is best equipped to provide its students with a safe environment. This position reports directly to the Safety and Security Office Manager and is accountable for the following responsibilities:
Supports the Chief Safety and Security Officer and Deputy Chief of Safety and Security in coordination of activities and meetings for the assigned portfolio for the goal of providing a safe, calm environment for students and staff;
Review and summarize miscellaneous reports and documents; prepare background documents and reports as necessary under tight deadlines;
Oversees the preparation and processing of pertinent forms, reports, and correspondence;
Plans, develops, implements, and monitors administrative procedures to improve efficiency of the unit’s work flow;
Monitors the status of current projects to ensure staff’s compliance with established deadlines and project guidelines;
Oversees all team’s purchasing in accordance with established purchasing and procurement practices;
Demonstrate the ability to manage multiple tasks in an environment with frequent interruptions, changing priorities and tight operating deadlines;
Oversees the preparation of unit payrolls;
Assists in the preparation and monitoring of the unit’s annual budget;
Establishes and maintains office work schedules;
Prepares and assembles materials for use at meetings and conferences;
Oversees the preparation of correspondence in response to requests for information;
Ensures the accurate scheduling of meeting and appointments as required;
Serves as the primary office receptionist;
Ensures the proper maintenance and servicing of office equipment as required.
In order to be successful and achieve the above responsibilities, Project Coordinator must possess the following qualifications:
Type of Education Required : Graduation from an accredited college or university with a Bachelors degree in Management, Public Administration, Business Administration, or a related field of study. Equivalent will be considered.
Type of Experience and Number of Years :
- Three (3) years of administrative experience.
- Experience working in safety management is preferred.
Knowledge, Skills, and Abilities :
Must possess the ability to plan, prioritize, assign, review, and evaluate the office work; considerable knowledge of the use of personal computers, including MS Word, MS Powerpoint, MS Excel and MS Outlook
Ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive and resourceful with a high level of professionalism.
Strong communications skills; bi-lingual capabilities is a plus
Successful experience in facilitating the development of leadership capacity
Adept at managing partnerships between and among external agencies and key stakeholders
Possesses strong sense of integrity in all aspects of how they conduct themselves.
Possesses excellent analytical and organizational skills.
Demonstrates a sense of urgency in accomplishing goals and objectives to ensure success.
Pursues and implements innovative ideas and methods, remains committed to seeking out and sharing current research and evidence-based best practices.
