Job Title: Practicum and Internship Coordinator

Department: Counseling Department

Reports To: Diana Herweck

Location: Remote or Palo Alto (1-2 days/week)

Employment Status: Full-time

 


Specific Duties and Responsibilities

 

  1. Communication to Advance Professional Development and Operational and Inclusive Excellence
  • Manage practicum and internship email account
  • Answering questions via phone and email
  • Communication and coordination with students, faculty, staff, and administration regarding deadlines, events, and appointments
  • Contacting students with regular reminders about documentation, registration, etc.

     2. Tevera Management to Foster Student Success

  • Development and maintenance of Tevera tracking student and site data regarding practicum
  • Providing technical assistance as needed for users of online systems, including Tevera onboarding students and instructors in summer and fall (and elsewhere as needed)
  • Ensure each student’s Practicum Placement Agreement form is in Tevera
  • Ensure students’ supervisors have been added and connected in Tevera, and the correct Supervisor/Supervisor e-mail in Database
  • Maintain database of practicum sites
  • Ensure practicum site contact info is updated in the database
  • Ensure all students are in the clinical training database and have appropriate access

     3. Student Documentation Management to Ensure Student Success

  • Student document processing, updating and tracking (Tevera, Docusign, and agreements)
  • Ensure Practicum/Internship students have logged all hours with supporting paperwork

     4. Administrative Duties to Enhance Operational and Inclusive Excellence

  • Office administration including preparing staff meeting agenda, maintaining office calendar, documenting office policies and procedures
  • Providing, directing, and overseeing administrative services that support MA in counseling trainees applying for and participating in counselor clinical training
  • Develop and maintain a CANVAS LMS based MA in Counseling Program Information course, including the Practicum orientation and information sharing site and/or webpage
  • Troubleshooting and problem solving in areas of technical assistance, scheduling, student issues, and office coordination
  • Support practicum audit
  • Working with clinical training team to develop workflows for all tasks within the Practicum and Internship domain
  • Maintain a commitment to PAU’s Inclusive Excellence Framework to ensure individuals have access and support throughout their training.

      5. Other duties as assigned

  • Bachelor’s Degree, with human service experience
  • 3+ years’ experience
  • Knowledge of record keeping database systems
