Job Description:

Amherst College invites applications for the Executive Assistant to the Director of Athletics position. The Executive Assistant to the Director of Athletics is a full-time, year-round position, starting at $22.00/hour-commensurate with experience. The Executive Assistant to the Director of Athletics / Academic Department Coordinator provides administrative and logistical support to the Director and the diverse Athletic Department staff including acting as the point of contact between the Director and internal/external requests. The Executive Assistant to the Director of Athletics / Academic Department Coordinator takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Summary of Duties and Responsibilities

Administrative Support to Director
  • Manage Director's calendar including scheduling meetings and appointments, and providing reminders
  • Screen calls, process requests and answer inquiries in ways that contribute to an intentionally inclusive culture
  • Attend meetings and take detailed minutes accurately
  • Coordinate travel arrangements and make reservations for Director and visitors to campus
  • Create reports, presentations, and briefs
  • Draft emails and correspondence
  • Manage searches and coach evaluations due for contract renewal
Team Rosters and Athletic Competition
  • Create team rosters in Datatel and in ARMS. Continue to update rosters throughout the year as modifications are received. Notify sports information, equipment managers, and sports medicine with any roster changes.
  • Manage the intercollegiate scheduling of athletic competition for all sports, including liaising with Athletic Directors and Scheduling Coordinators at peer institutions as well as Referee Assignors to ensure each competition is accurately assigned. Coordinate and verify compatible competition dates, create contracts for all home competitions, and proofread contracts from peer institutions. Liaison with game day managers to ensure a connection has been made to all assigned officials. Process and submit requests for payment for officials.
  • Work with a diverse group of Tournament Managers on all post-season activity to ensure positive experiences for all student-athletes and visiting teams.
  • Email the post-season tournament schedule to the President's Office.
  • Schedule athletic facility requests and enter into EMS.
  • Secure bus transportation for student-athletes utilizing the Pratt/Gooding complex.
  • Program gates and doors, and provide field house access for team use at the Pratt/Gooding complex.
Office Management
  • Maintain office equipment and supplies.
  • Assist Business Manager as needed.
  • Friends of Amherst Athletics Organization - Prepare correspondence for annual fundraising campaign. Ensure team donations are sent to Advancement to be processed. Prepare and send monthly reports of program gifts received to head coaches.
  • Serve as the liaison with the Advancement Department regarding team and department newsletters.
  • Proofread head coach recommendation letters for spelling, grammar, and content when asked.

  • Associate's degree, or 5 years of related experience in lieu of degree
  • 5 years of related experience
  • Strong verbal and written communication, interpersonal, time management, and organizational skills

  • Ability to take initiative, and work independently and collaboratively
  • Demonstrated customer service and problem-solving skills
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
  • Detail-oriented
