The Customer Service Representative’s role is to communicate with customers, work with all departments for scheduling and graphics engineering needs, estimate orders, order entry, proof graphics, bill orders, filing for all paperwork and perform a variety of additional activities to facilitate excellent customer relationships and support effective manufacturing operations. This entry-level position operates within defined systems or parameters and participates in a variety of order management activities. Position reports directly to the Customer Service Manager located in Richwood, KY (Cincinnati).
Responsibilities: Learns the basic fundamentals of customer service and applies established processes and systems in the execution of the work. Performs repetitive clerical duties in accordance within defined workflow processes, systems, policies, procedures, and practices that include accurate order entry, building order specifications, processing estimate requests, sales order entry, production guidance, and specification approval. Provides back-up support for other administrative functions as needed. Communicate status of orders to manufacturing as well as customers. Work with production staff and schedule to achieve on-time customer deliveries. Work with Art Department to ensure graphics are engineered to customer press specifications. Initiate entry of customer complaints into the Customer Feedback System (CFS), alert management in a timely manner for investigation, and help resolve issues as quickly as possible.
This is an entry-level position. Prefer one year work experience in customer service, business office environment, project management, business-to-business inside sales, order management, or purchasing. Associate’s or BA/BS preferred; commensurate work experience in customer service, project management, inside sales, or other administrative roles desirable. This position requires a high level of administrative, organizational, and communication skills, including exemplary telephone and e-mail etiquette and ability to present self in a professional manner. Accuracy, thoroughness, attention to detail, timeliness, reliability, patience, and listening skills are crucial. Must possess a disposition that thrives on a deep understanding of the details and ensures their execution. Must demonstrate a proven track record of accurate data entry; proficient skills in Excel, Word, and Outlook; ability to learn industry- and customer-specific computer systems. Fast-paced, constantly changing culture that requires a high level of internal collaboration, frequent interaction, and effective communication with sales, customer service, manufacturing, production, customers and finance. The successful candidate must be comfortable working independently on a day-to-day basis but equally adept at working closely with internal stakeholders to support the execution of projects. Must be highly organized, detail-oriented, and imminently accurate with data. Ability to multi-task and effectively use priority management skills is critical. Must be able to quickly learn and operate within defined systems. The successful candidate will embrace learning on the fly with a strong desire to acquire knowledge for continued growth. Must have the ability to adapt with change demonstrating perseverance and patience. Position is clerical and sedentary in nature, requiring the consistent use of a computer and related office equipment.
